JOB TITLE: Executive Assistant
POSITION: Full-Time/Contract to Permanent
Job Overview: The Executive Assistant role is best suited for a highly motivated self-starter who is energized at the thought of organizing and managing a music and media executive. The perfect candidate is a critical thinker who loves to solve problems, is detailed oriented, punctual and resourceful.
Duties and Responsibilities:

Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.

Act as a liaison and provide support to the Head of A&R and Head of Execution

Arrange and handle all logistics for executive travel

Schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary.

Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects, designing and producing complex documents, reports, and presentations

Collecting and preparing information for meetings with staff and outside parties

Composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports

Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature.

Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style.

Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

Anticipate CEO’s needs in advance of meetings, conferences, etc.

Other projects/duties as assigned for the overall benefit of the organization.
Requirements:

Must be 21 years or older
-
Must have a valid driver’s license, as some driving will be required.

Must be able do demonstrate 2-3 years of executive assistant or similar experience.

Must have a passion for music and the industry as well as content and live events.

Must have experience booking and managing travel for multiple people
-
Strong proficiency in computer software applications (Microsoft Word, PowerPoint, & Excel, etc.)

Strong critical thinking, problem solving, and general troubleshooting skills.

Detailed oriented, outgoing, punctual, accurate and confident.
-
Able to accommodate a dynamic schedule.
-
Experience with Adobe Suite and video editing software preferred.
